How Triad knows two records are the same meeting
Why a transcript and a digest line about the same meeting become one activity, and when Triad asks first
How Triad knows two records are the same meeting
The same meeting often reaches Triad twice: once as a line in your weekly digest and once as a transcript from Notion, Fireflies or a forward. Triad keeps it as one activity.
The rule
Two records are the same meeting when all three of these hold:
- The same partner. A joint meeting with two partners is checked against each partner's records separately.
- The same day. A transcript uses the day it was recorded. A digest line uses the date written on it.
- The same people. At least two people appear in both. If either record names only one person from the partner, that person appearing in both is enough.
Triad never compares meeting titles. Every tool names a meeting differently, so a title is not evidence.
When only one person is in common and the rule above does not settle it, Triad treats the two records as possibly the same meeting and asks you.
What happens
- The transcript arrives first. When the digest later reports the meeting, its people are added to the transcript's activity and nothing new is created. The digest's threads, deals and next steps for that partner still land on the digest's own activity.
- The digest arrives first. When you review the transcript in the Capture Inbox, a line above it says "This is the partner meeting on that date that the digest reported." Attach is already selected, so accepting adds the transcript's text, next steps and names to that activity and merges the people. Choose Create a new activity to keep them apart.
- Only one person in common. The review shows a suggestion instead. Nothing attaches unless you choose Attach, and you can dismiss the line.
People are only ever added. No contact is merged or removed, and nothing already recorded on the activity is deleted.
For a transcript about several partners, each partner's part is checked on its own, so one part can attach to a digest meeting while another becomes a new activity.
