Importing your CRM deals
How do I load my CRM's deals and their partners, and what happens on the next import?
The deals import loads your CRM's opportunities and the partners on them from a spreadsheet export, one row per partner on a deal. It is how pursuits, attribution and partner amounts get into Triad. Your workspace may use its own word for this; see Settings, Terminology.
Go to Settings, Data import (admins only) and drop the deals file.
Matching deals
- With an External ID column, deals match by their CRM id.
- Without one, deals match by account and deal name. The dry run says which key the file uses. A renamed deal imports as a new deal, so add the CRM id when you can.
A deal someone typed into Triad by hand, with the same account and name, is adopted: the import takes it over instead of making a duplicate, and keeps what people recorded on it.
The dry run
Before anything is saved, Triad runs the file and shows the counts: created, adopted, updated, revived, unchanged, skipped, and in Triad but not in this file. Warnings list the rows it skipped and why.
- Partner names that match no partner are listed. For each, match it to a partner, keep it as a child of one (a regional arm, for example), or create a new partner, then run the dry run again.
- Attribution values that match none of your attribution states are listed, so you can add or map them first.
Commit saves exactly what the dry run showed.
What the import changes
- A new deal or pursuit gets everything the file knows.
- On a later import, only what the CRM owns is updated: amount, stage, close date, attribution, level of influence, partner amount and the like. What people recorded in Triad (stages, outcomes, answers, delivery) is never touched.
- A value in the file wins. A blank cell leaves what is there.
- A partner on a deal that the file does not mention is left alone.
Gone deals
Tick This file holds open deals only when your export has only open deals. A deal Triad has but the latest file does not name then appears in the activation queue as Closed or gone from the CRM. Without the tick, the group is called Gone from the CRM. Either way, record its outcome, move its history to another deal, or retire it.
FAQ
Can I import a file with no CRM ids?
Yes. Deals match by account and name.
The CRM says a partner is credited, but we recorded Declined. Which wins?
The CRM's attribution is shown, and your answer is kept beside it. Neither erases the other.
